Marketplace seller invoices: from order details to a clean PDF
Orders on Amazon, eBay and Etsy often arrive with platform references rather than a traditional purchase order. A useful invoice connects those references to the seller, buyer, items and final amount without mixing platform charges into the customer's bill.
Start with one order record
Capture the platform, order or transaction ID, order date, buyer reference and item or listing ID together. Copy the delivery address separately from any account billing details. If an order contains multiple products, keep each product on its own invoice line so quantities and unit prices can be checked against the order.
Separate the buyer's total from platform fees
The invoice should show the amounts charged to the buyer: items, any shipping or discounts that belong to the order, applicable tax and the amount payable. Marketplace commission is normally a seller-side cost, not a reduction of the buyer-facing invoice total. Keep that fee in your internal order notes or expense records unless your accountant directs a different treatment.
Order: two items at 25 each, plus 5 shipping. Buyer-facing amount: 55 before any applicable tax treatment. If the platform later retains a fee of 6, record that separately; do not silently change the customer invoice to 49.
Check currency and tax before exporting
Use the transaction currency rather than a default set for another country. Tax treatment can depend on where you and your buyer are located and on the platform's role in the transaction. Verify the applicable rules with a qualified adviser or your platform reports before sending; an invoice tool cannot determine all cross-border obligations automatically.
Make the PDF easy to match
Include your business name, buyer details, invoice number and date, item descriptions, quantity, unit price and total. Add the marketplace order ID in a visible reference field. Review the PDF at normal size before emailing it: long product names should wrap, not disappear, and the last page should not contain an isolated signature or empty sheet.
Keep a repeatable workflow
- Import or copy the order information.
- Match item lines and shipping to the platform receipt.
- Confirm tax and currency.
- Export the PDF and attach it to the correct order record.
- Record platform fees separately for reconciliation.
